Write An Effective Job Proposal

I am simply amazed at the problems some of my colleagues are experiencing regarding writing job proposals for customers. So often I hear that there has been some sort of disagreement between client and service provider, something that can and should be avoided before a project is started. Here are four tips to help you write an effective job proposal letter.

Assume Nothing My junior high English teacher gave his students the real meaning of assume: if you assume something it makes an ass out of you and me: ass-u-me. Leave nothing to chance. When you speak with a client do not assume they understand much of what you have to offer. For instance, I sell website packages. I have learned to spell out everything that I will offer to my customers for a very specific price. If there are any "gray areas" I protect myself by telling customers that certain other expenses will be billed separately. Do not box yourself into a corner and do not pull surprises on your customers as they may think you are trying to cheat them. Keep the lines of communication wide open.

Get It In Writing Save all of your email correspondence with clients including emails you send and emails you receive. Sometimes what is not said verbally is articulated in writing. For example, I write much better than I speak, therefore I am more likely to put my ideas forth via "ink" or "type" than I am to verbalize them. In either case follow up your contact by placing everything in writing. You will need that paper trail in case something goes wrong e.g., a refusal to pay for services rendered.

Make Changes, If Necessary Sometimes projects change as the work goes forward. If it is a minor change, such as cropping a few extra photographs, you can probably "eat" the additional labor. However, if your project increases in size, let's say your clients now want a 12 page website instead of an 8 page site, they need to know that you need to be compensated for the extra work. Specify in your proposal letter that any changes to the project will incur additional charges; remind them of this "clause" should any major change be proposed. Your customer may decide not to go with the larger project after counting the additional costs.

Write a Contract I have done fairly well without contracts. Many of my customers know me quite well, therefore the proposal letter serves as a contract of sorts. I also require my customers to pay me 50% as an advancement; if they walk away from the contract upon completion of my work their website does not get uploaded to the internet. At the very least I have partial compensation for my hard work. Your experience or risk factors may be much different than mine; certainly use contracts if your customers are not well known to you or you do not have a previous business relationship.

In summation, every satisfied customer is a potential referral for new business. Keep those communication lines open and understood and you will garner additional projects because of your sound business practices.

Conduct a More Effective Job Search by Creating a Five-Step Plan For Success

Finding work that you love, that also meets your financial needs, doesn't happen by accident. It requires a well-thought plan of action and an intense level of commitment.

According to April 2008 figures from the Bureau of Labor Statistics, U.S. Department of Labor, the length of the typical job search is 16.9 weeks. Most jobseekers are not mentally, emotionally, or financially prepared for the hard realities of the current job market.

A dismal economy punctuated by the worse job loss in years has resulted in a volatile, intensely competitive job market. Published job ads can easily generate hundreds of resumes from desperate jobseekers.

Overwhelmed employers and recruiters sift through mountains of resumes trying to quickly eliminate candidates. The average resume getting just a 15 - 30 second review unless the candidate is able to capture the employer's attention. So what can you do to get noticed by potential employers and shorten the duration of your job search?

An ultra competitive job market requires a winning strategy, thorough preparation, compelling marketing documents and an intensified effort.

Let's examine a five-point plan of action that can ignite your job search and give you an edge over your competition.

Step One: An Honest Self-Assessment

An honest self-assessment is the first step to finding work for which you are well-suited and that you will truly enjoy. Ask yourself:


  • Where do my skills, strengths, and passion lie?

  • What skills, education, or experience am I lacking?

  • How can I fill skill gaps that could prevent me from qualifying for my ideal job?

Consider your skills and experience from the viewpoint of a potential employer. Identify opportunities for improvement and find ways to overcome problematic voids. Take a class at your local community college to learn a new software application. Volunteer to gain additional skills and experience.

Step Two: Assess Your Ideal Work Situation
Review your past work, school and volunteer experiences.


  • What did you like about each of your past positions?

  • What tasks would you never consider doing again?

  • What do you require from your work - emotionally and financially?

  • What positions, companies, industries fit your ideal work profile?

Having a clear vision of your ideal work situation will help you to focus your job search efforts. It may become necessary to take on work that you don't love to meet your immediate needs. Do not get discouraged. Simply use the information you've gathered to continue a part-time search for your ideal work situation.

Step Three: Create a Customized Self-Marketing Plan

Getting noticed by potential employers requires an effective marketing strategy. You are the product and potential employers are your customers. Develop a comprehensive plan to target ideal companies.

Jobseekers often find it more comfortable to search for work using online job boards or by responding to want ads. But, it is typically advisable to incorporate strategies designed to access both the published and unpublished job market. Don't rely too heavily on any single strategy.

Establish concrete marketing goals for yourself each week regarding the number of:


  • Hours you'll devote to your job search.

  • Resumes and letters you'll send.

  • Follow-up calls you'll make.

  • Face-to-face meetings you'll arrange.

Several factors determine which job search strategies are best for your unique situation. Take into consideration your personality, the industry in which you're seeking employment, and the effectiveness of each strategy. Keep track of your job search efforts and make adjustments as needed. Focus attention of strategies that yield the best results.

Step Four: Get Noticed with an Employer-Focused Resume

Your resume is a snapshot of who you are, what you've done - and most importantly - what you can do for potential employers. Its job is simple: to get you to the next step in the process - a job interview. While you are the subject of this critical marketing document, make no mistake; it is all about the employer.

So maximize your 15 seconds of fame by showing employers what you've got. And don't make them search through a two page document for applicable skills and experience because they won't. In most cases a single page is preferable. Use a resume format that will put your highlights in the top one-third of the page.

Step Five: Prepare for Your Interview Like It's Game Seven of the World Series

Prior to any game - let alone one upon which his entire season hinges - a pitcher studies the team he is up against. He knows each hitter's preferences and is keenly aware of his flaws. The pitcher will use this information to his advantage during the ballgame. What about you? How do you prepare for "the big game?"

Dressing appropriately is important. Mental preparation is even more so. Research the organization and formulate a few questions to ask about the company and the nature of the work you'd be doing. But, it is just as important to do some internal research.


  • What is it that you have to offer?

  • How have you proven your ability to succeed in the past?

  • What have you learned from past missteps?

Be prepared to clearly communicate your value to the interviewer. Provide convincing examples of your abilities and experience. This requires careful preparation. Practice with a family member; friend; career or job search coach. You'll only have one opportunity to make a lasting first impression.

Putting it All Together

Creating and implementing a successful job search plan requires discipline, hard work, and commitment. But, if you want to compete in the current job market, it is an absolute necessity. Create a plan of action that will get you noticed by potential employers:


  • Make an honest self-assessment.

  • Assess your ideal work situation.

  • Create a customized self-marketing plan.

  • Create an employer-focused resume.

  • Prepare thoroughly for your interview.

Applying Online For A Job Is Not An Effective Job Search

How many jobs have you applied for online? How many job offers have they gotten for you? It would be my educated guess that the answer is zero. Don't worry-you're not the only one. Online job applications are probably the most common, yet least effective, job search effort.

Why isn't applying online an effective strategy?

Think about this: When you see a job posting online, how many other people do you imagine have seen it, too? Thousands. So when you throw your hat into the ring, how easy is it to get lost in the crowd? Very. If you don't have the perfect application with the exact keywords that the HR department of that company is looking for, you won't even get a "Dear John" letter.

That's why. Online applications don't help you stand out. They are a time-wasting black hole.

Now, think about this: What would you say is the way most people get jobs? Through people they know-their networks. Networking has always been the most effective way to land a job. Why? For one thing, people like to hire candidates who have been recommended to them by someone they know and trust. There's a connection. Now, that someone could be a personal connection, a professional connection, a recruiter-you get the idea.

But you can take this one step further. The other reason networking works is because it puts you in front of the hiring manager, who is the decision-maker (and keeps you away from gate-keeping, candidate-blocking Human Resources departments). That alone helps you stand out.

The good news is, you can contact hiring managers directly. The most effective way to do this is through LinkedIn. LinkedIn is an easy way to get in front of hiring managers, who can then check out your profile, see who you're connected to, see what you've said in discussions, and feel like they know something about you.

There are other ways to contact hiring managers directly, of course: using your own networks is a great way to do that. But LinkedIn gets you a larger number of managers, which increases your chances that one of them will be interested in finding out more about you.

Effective Ways to Give Performance Feedback

Consequences of Not Giving Effective Feedback

Let's take a look at some typical examples of what goes on in work environments when managers don't give good feedback.

Example #1: John has been working at his new job for one month. On his first day at work, Wilma, his boss, showed him what to do and got him started on a project. Since then, Wilma has communicated with him mostly through voice mail and e-mail. She walks past his cubicle and says hello a few times each day, but there hasn't been much other communication. John is assuming he is doing his job properly, but he really isn't sure.

Analysis: There is no feedback here. John has no idea whether he is doing his job properly.

Solution: Wilma should have given John a detailed job description on the first day. She should have gone over his first project as soon as he finished it, making certain he understood the task and completed it properly. She also should have checked in with him regularly to make certain he was doing his job correctly and to see whether he had any questions.

Example #2: Stella works in an office. Yesterday, she spent several hours filing a huge stack of folders that her boss had given her in the morning. When she got to work today, her boss came over to her desk and yelled, "Stella! You did those files all wrong! Don't you listen?" He said it so loudly that Stella's three office mates turned toward her in shock. He went back into his office and slammed the door.

Analysis: This manager's behavior is abusive. It lowers her self-esteem and frightens her coworkers. An atmosphere of fear also lowers productivity and encourages sabotage and turnover.

Solution: He should have delivered the feedback calmly and in private. He should also have asked her for her understanding of the task; perhaps there was a reason for it being done the way it was. Third, he should have been specific about what she did wrong.

Example #3: Angela asked Steve, her assistant, to call a list of 20 clients and set up phone interviews for next Thursday and Friday (the 20th and 21st). She provided Steve with an updated list of phone numbers and told him the hours she would be available to speak with the clients. When Angela came back from lunch today, Steve had left a list of interviews on her desk. He has set them up for this Thursday and Friday (the 13th and 14th). He also has written, next to four of the clients' names, "wrong phone number." As she picks up the phone to reschedule the first client, she says to herself, "See, you just can't get good help these days."

Analysis: As far as we can tell, there was no feedback to this employee.

Solution: Employees have a hard time learning if they are not given feedback. This manager should have talked to Steve calmly and in private. She should also have asked Steve what he understood the task to be and why he scheduled the interviews for the wrong dates. Finally, she should have asked Steve to reschedule the calls for the correct dates.

Steps for Giving Feedback

Now that we've looked at a few examples of what can happen when performance feedback isn't given effectively, let's talk about some principles for doing it well. The five simple steps are:

1. Describe the situation.

2. Ask the employee for his or her view of the situation.

3. Come to an understanding of the situation.

4. Develop an action plan to resolve the situation.

5. Agree to follow up later to make certain the situation has been resolved.

Let's use the third example above to illustrate how this might look.

1. Describe the situation. "Steve, these appointments are all scheduled for the 13th and 14th. I asked you to schedule them for the 20th and 21st."

2. Ask the employee for his or her view of the situation. "Tell me, what was your understanding of what I asked you to do?"

3. Come to an understanding of the situation. "So you just misunderstood what I wanted. I had written the dates in my note to you, but you didn't read it thoroughly before you started making the calls."

4. Develop an action plan to resolve the situation. "I would like you to re-schedule all of these appointments before 5:00 today. What will it take for you to do that?"

5. Agree to follow up later to make certain the situation has been resolved. "I'll check in with you at 4:30 to see how you are doing with this." At 4:30, stop by Steve's desk and ask, "How are you doing on your calls?"

Principles for Giving Feedback

Let's take a look at some other issues to consider when giving feedback to someone who works on your team.

1. Put it in writing. Feedback is most effective when it is written down. Having it in writing increases the chances that it will be understood. For example, Angela could simply note the dates and times she is available and hand it to Steve. She could also write "by 5 P.M. today" at the top.

2. Be sensitive to people's feelings. Some managers think they don't need to worry about the employee becoming upset. They think that as the boss, they have the right to tell people what to do and not worry about their feelings. This is a big mistake. Being concerned about other people's feelings is important in any situation. Effective managers demonstrate concern for the self-esteem of their team members. This doesn't mean withholding criticism or ignoring problems.

3. Focus on your entire team, not just the new members. New employees are not the only ones who need performance feedback. All employees need ongoing feedback.

4. Feedback should be as specific as possible. People have a difficult time responding to instructions that are vague and unclear. It is important to check for understanding; avoid assuming that you are on the same wavelength.

5. Think it through. Always take the time to plan what you want to say before giving feedback. Taking the time to gather your thoughts and clarify what you want your feedback to accomplish increases the chances that you will communicate clearly.

6. Ask first. Get the employee's point of view before you state what you think should be done. People are more receptive when they have a chance to explain themselves first. You might also learn something unexpected that will explain the situation or change your point of view.

7. Don't withhold. It is not a good idea to hold back your negative observations when employees are new. You don't want to criticize too much and cause them to feel discouraged, but remember that people need to know how they are doing.

8. Follow up. If you see that the employee corrected a problem situation, you still need to follow up. When you follow up, you are telling employees that you are being thorough and that the work is important.
